The Conference Production Cycle

The following are based on starting conference with six-week production cycle. We modify according to the scale of the conference.

These are the months before Start Date and where numerous and valuable activities should take place:

  • Topic selection and Concept development – lead by GM
  • Research commences – lead by GM
  • Business Plan – lead by GM
  • Sales commence
  • Conference Manager assigned
  • Conference Brainstorm
  • Keynote invitations issued – lead by GM working closely with the CM

This is, arguably, the most important part of the entire conference project cycle – the earlier we develop the concept, the earlier we collect research and accumulate knowledge, the earlier we assign the Conference Manager, the earlier we do the brainstorm, the easier it is to start producing on the Start Date and the easier it is to execute the entire project.

Optimally Conference Managers should be assigned projects for the whole of the coming year.

For HUGE conferences pre-production starts at minus 15 months.

Pre-Production is an opportunity for IMAPAC – if we could get a lot better at this our conferences would be of a higher quality and be produced in a less stressful manner.
